Terms & Conditions

 

Booking & Payment: Motocations

Your reservation is confirmed with a 50% deposit.

The remaining 50% balance is due 30 calendar days before your Departure Date.

For purposes of this policy, the Departure Date is the first scheduled date of your Motocation. All cancellation and payment deadlines are calculated based on this date.

By submitting your deposit, you authorize Grand Valley Adventure Tours and Rentals (“GVA,” “we,” “us,” or “our”) to charge the payment method provided at booking for the remaining balance 30 calendar days before your Departure Date.

If you wish to use a different payment method for the remaining balance, you must contact GVA before the 30 day payment deadline to make arrangements.

Your deposit reserves a specific Motocation date and is nonrefundable. Once your reservation is confirmed, GVA may begin planning and securing accommodations, transportation, equipment, meals, guides, and other trip components based on your reservation.

Cancellation & Rescheduling: Motocations

GVA understands that plans can change. Because each Motocation requires advance planning and financial commitments, we offer the ability to reschedule when sufficient notice is provided while protecting the dates and resources reserved specifically for your trip.

More Than 30 Days Before Departure

Your 50% deposit is nonrefundable.

If you choose to cancel your Motocation more than 30 days before your Departure Date, you will not be responsible for the remaining 50% balance.

Alternatively, you may reschedule your Motocation one time to another available GVA Motocation within 12 months of your original Departure Date.

If you reschedule, the amount already paid will be applied toward your new Motocation. A $100 rescheduling fee will apply. Any difference in the price of the new Motocation will also be due.

Rescheduling is subject to availability.

30 Days or Less Before Departure

Once the remaining balance becomes due 30 calendar days before your Departure Date, your booking is considered fully committed.

The remaining 50% balance will be charged to the card on file unless you have made prior arrangements with GVA to use another payment method.

Bookings canceled 30 days or less before the Departure Date are nonrefundable. Rescheduling is not available during this period.

If the remaining balance has not been successfully collected, the balance remains due in accordance with these Terms and Conditions.

Failed or Late Payments

If GVA is unable to successfully process the remaining balance using the payment method on file, GVA will notify the guest and provide 3 calendar days to resolve the outstanding payment or provide an alternate payment method.

If the balance is not resolved within that period, GVA reserves the right to cancel the reservation. Cancellation under these circumstances does not release the guest from any payment obligations that have become due under these Terms and Conditions.

Rescheduling Terms

When a Motocation is eligible for rescheduling under this policy:

  • The rescheduling request must be made more than 30 days before the original Departure Date.

  • A booking may be rescheduled one time only.

  • The new Motocation must be completed within 12 months of the original Departure Date.

  • Rescheduling is subject to availability.

  • The amount already paid will be applied toward the new Motocation.

  • A $100 rescheduling fee will apply.

  • Any difference in the price of the new Motocation is the responsibility of the guest.

  • Rescheduled bookings apply only to the original guest or guests and may not be sold, assigned, or transferred to another person.

  • Once a booking has been rescheduled, no additional rescheduling, refunds, or extensions will be permitted.

  • If the rescheduled Motocation is not completed within the 12 month period, the booking is forfeited and no refund, credit, or extension will be issued.

Why We Have This Policy

Every Grand Valley Adventure Motocation requires advance planning and financial commitments.

 

Accommodations, transportation, dirt bikes, protective gear, meals, guides, and other trip components may be arranged specifically for your group and may be difficult or impossible to recover if a reservation is canceled close to departure.

Our policy is designed to give guests reasonable flexibility when plans change while allowing GVA to make the commitments necessary to create a high quality experience.

Your deposit secures your adventure. More than 30 days' notice gives you the flexibility to change your plans. Within 30 days, your reservation is fully committed.

 

Booking & Payment: Guided Tours, Learn to Ride, Lessons & Clinics

Payment is due in full at the time of booking. Because each experience reserves a specific date and time, cancellation and rescheduling terms are based on the amount of advance notice provided.

7 calendar days or more before your scheduled experience
Cancellations are eligible for a 75% refund of the booking amount. The remaining 25% is retained to cover scheduling, administrative, and preparation costs. Alternatively, you may reschedule and use 100% of the amount paid to another available Guided Tour, Learn to Ride, Lesson, or Clinic within 12 months of the original experience date. Reschedule requests must be made prior to the original scheduled experience start date and are subject to availability. 

72 hours or more, but less than 7 calendar days, before your scheduled experience
Cancellations are eligible for a 50% refund. Alternatively, you may request to reschedule and use 100% of the amount paid to another available Guided Tour, Learn to Ride, Lesson, or Clinic, subject to availability. The new experience must be reserved and completed within 12 months of the original experience start date.

 

Less than 72 hours before your scheduled experience

Bookings are nonrefundable. Rescheduling is not available during this period.

No-shows & late arrivals
No-shows and guests who arrive too late to participate are non-refundable and rescheduling is not available. 

Rescheduling Policy: Guided Tours, Learn to Ride, Lessons & Clinics

 

When a booking is eligible for rescheduling under the Cancellation & Rescheduling Policy, the following terms apply:

  • A booking may be rescheduled one time only to another available Guided Tour, Learn to Ride, Lesson, or Clinic.

  • Requests must be made prior to the original experience start date and are subject to availability. 

  • The new experience must be reserved, completed, and attended within 12 months of the original experience date. 

  • GVA will honor the original booking price for the rescheduled experience, even if current pricing has increased.

  • Once a booking has been rescheduled, no additional rescheduling, refunds, or credits will be available.

  • Rescheduling details are tied to the original guest and booking and may not be sold, transferred, or assigned to another person.

  • If the guest does not use the rescheduled booking within the 12-month period, the booking is forfeited and no refund or additional credit will be issued.

  • Rescheduling cannot be combined with other promotions, discounts, credits, or offers unless approved by Grand Valley Adventure.

 

All reschedule requests must be made directly with Grand Valley Adventure. Rescheduling options are not automatic and are not guaranteed until confirmed by GVA.

Weather & Trail Conditions

Dirt bike riding is an outdoor adventure, and weather and trail conditions can change throughout the season and during an experience. Normal weather conditions, including rain, snow, wind, cold, heat, or changing trail conditions, are part of the outdoor riding experience and do not automatically result in a cancellation, refund, or rescheduling.

Grand Valley Adventure may adjust routes, riding locations, schedules, or activities when necessary due to weather, trail conditions, safety concerns, trail or land closures, or other operating conditions.

These adjustments may be made to provide the best experience reasonably possible while maintaining safe and responsible riding conditions.

If conditions become severe enough that Grand Valley Adventure determines the experience cannot safely or reasonably take place, the Cancellation by Grand Valley Adventure policy will apply.

Cancellation or Changes by Grand Valley Adventure Tours and Rentals

Grand Valley Adventure reserves the right to cancel a scheduled experience when circumstances beyond our control make it impossible or unsafe to provide the experience.

This may include major weather events, natural disasters, government or land-management closures, significant emergencies, or other extraordinary circumstances that prevent Grand Valley Adventure from safely operating the experience.

If Grand Valley Adventure cancels your experience for one of these circumstances, we will first offer the opportunity to reschedule your experience for another available date. If you are unable to reschedule, you may choose to receive a full refund of the amount paid to Grand Valley Adventure.

 

Grand Valley Adventure will make reasonable efforts to provide as much notice as possible when a cancellation is necessary.

Rider Responsibility

You are responsible for providing accurate information about your riding experience, ability, and any relevant limitations.

Grand Valley Adventure reserves the right to modify a rider's route, terrain, or activities when necessary to maintain a safe and appropriate experience for the rider and the group.

GVA may refuse or discontinue participation if, in GVA's reasonable judgment, a rider's ability, conduct, physical condition, equipment use, or other circumstances create a safety concern for the rider, other participants, guides, or property.

Insurance & Medical Coverage

Participants are responsible for ensuring they have appropriate health and medical insurance coverage for their trip and activities. Grand Valley Adventure does not provide medical insurance or coverage for medical expenses resulting from participation in its experiences.

Participants should also consider whether their personal insurance provides coverage for off-road motorcycle activities, as coverage varies by policy.

Equipment

If motorcycles or riding gear are included or rented as part of your trip, riders are responsible for using the equipment appropriately and following all instructions provided by Grand Valley Adventure.

Guests are responsible for reasonable repair or replacement costs for equipment damaged through misuse, negligence, intentional acts, or failure to follow GVA's instructions.

Assumption of Risk

Dirt bike riding is an inherently active and potentially hazardous activity. By participating in a Grand Valley Adventure experience, you acknowledge the risks associated with off-road motorcycle riding and agree to follow all safety instructions and requirements.

All riders will be required to complete any necessary waivers before participating.

Required Waiver

All participants must complete Grand Valley Adventure's required participant waiver and release before participating in any riding activity.

Participants under 18 years of age must have the waiver and release signed by a parent or legal guardian before participating in any Motocation, Guided Tour, Learn to Ride, Lesson, or Clinic.

A participant may not participate in any riding activity without a completed and properly signed waiver.

Changes to Your Trip

Grand Valley Adventure will make reasonable efforts to provide the experience described at booking. Circumstances such as weather, trail closures, safety concerns, or other conditions may require changes to the itinerary.

When reasonably possible, GVA will provide a comparable alternative experience. Changes to the itinerary, riding location, route, activities, or other trip components that are reasonably necessary due to weather, trail conditions, safety concerns, closures, or other operating conditions do not by themselves entitle the guest to a refund.

Participant Conduct & Safety

GVA reserves the right to refuse, suspend, or discontinue a participant's participation in an experience when, in GVA's reasonable judgment, the participant's conduct, riding ability, equipment use, impairment, failure to follow safety instructions, or other circumstances create a safety concern for the participant, other guests, guides, property, or the operation.

No refund or rescheduling will be provided when participation is discontinued due to a participant's violation of safety requirements, instructions, or these Terms & Conditions.

Optional Trip Protection

Trip protection may be available through Peek Pro at checkout. Coverage is provided by Peek Protect and is subject to its own terms, conditions, exclusions, and eligibility requirements. Grand Valley Adventure does not determine or administer claims under the trip protection program.

Payment Authorization & Transaction Records

By submitting a deposit or payment, you authorize Grand Valley Adventure Tours and Rentals to charge the payment method provided for the amount and services shown at the time of booking. You confirm that you are authorized to use the payment method and that the booking information you provide is accurate.

GVA may retain electronic records associated with your booking, including booking information, payment records, Terms & Conditions acceptance, waiver completion, electronic signatures, communications, check in records, and other records related to your reservation and participation. These records may be used to verify and document the transaction and services provided.

Booking Confirmation

By submitting your deposit or completing payment, you acknowledge that you have reviewed, understood, and agree to these Terms & Conditions, including the applicable cancellation, refund, rescheduling, and payment policies. You also authorize GVA to process the payment associated with your reservation.
